Booster Minutes Monday August 21, 2017

Meeting called to order by Jack Rapkin at 7:07pm

Meeting Minutes:

Secretary’s Report: Meeting minutes from June 26, 2017 were sent via email to the Band Booster Board and attendees by Cassandra Blyler. A call was made by Jack Rapkin for any edits and changes to the minutes as they were written and distributed. Motion to approve the minutes as written was made by Cassie Via and 2nd by Kristi McCormick. Motion passed.

President’s Remarks: None at this time.

Directors Report:

Mr Resnick: None given.

Mr Bonitz: This year has been the smoothest start to the year, in part thanks to the student band council. The freshman buddy program is working well, the freshman are able to see that they are a vital part of the band. The band recruitment will be starting up in the schools next week. At the 6th grade level there are 100 students in band, 60 students in each the 7th and 8th grades. The district is expecting an influx to the high school bands of 40 per class for the next couple of years, leveling off to 35 per year.

Since 2014 there has been a push for an honors band program for a 4.5 hour level class. Kathy Powers has been one of the biggest supporters. Some students could go on to major or minor in music and it is our responsibility to foster and support the students. This program is not appropriate for all students but the syllabus is available for interested parents.

Band Council Report: Report given by Jaina Gedeon. An overview of summer activities given. Bicentennial band performance went well, many groups were rained out, but our band was not. Jaina feels this band camp has been the smoothest of her four years. The band did the penny wars, and spirit week during band camp. Themed days included crazy hat day, magic, Hawaiian, Throw Back Thursday and Holiday. Four council members got pied. The band also participated in the Twinsday parade, Tag day, the Mogadore band show and performed at the Friday night Soccer game, all of which went well. The band signs should be done this week and up next week. The school has started a new program this year, the honors band program, which should really help with the GPA concerns of some students and is a great way to reward their hard work. The band buddy program, which pairs older band students with freshmen, is going well. The seniors gathered to plan the senior show. Four songs have been selected. In the stone, Treasure, Carry on my Wayward Son, and Centuries. Hanna Hart has been chosen to replace Zahra Najafi as the secretary.

Committee Reports:

Treasurer’s report: Report given by Jim Bird on behalf of Karen Wilson. Jim handed out copies of the Treasurer’s report to attendees. (Copy attached) The books have been reviewed and the year end statement prepared by our accounting service. Summary as of 8/14/17: On 7/13/17 money was transferred from each saving account to cover the annual start up costs. On 8/14/17 the money was transferred back in the savings accounts. We have moved our entire book keeping into Quickbooks Premier 2017. Everything from July 2016 and forward has been entered; everything from July 2016 has been reconciled. We paid out $300 to Katie Sterling for her 2015 scholarship and $300 to Matt DeAmon for his 2017 scholarship. This past year our total income has been down by roughly $13,000, concessions were down by around $4,000. The fundraisers did not do as well as expected last year, total expenses were down by $2000. Basically it was a breakeven year. Uniforms cost $5177.48 with an income of $2399; the tigerette uniforms have cost $3428.84, with $1984 coming in for reimbursement so far. Fundraisers include Rock the Park with a net profit of 603.73, the Donut sale, $285.88 net profit, Tag day the profit is still trickling in as people mail in donations. Net profit is at least $10,573.28. The Tiger cards are stll being finalized as there are still students who need to turn in cards and the cost of the cards has not been deducted yet. Total expenses for July are 6020.78 with a loss of $4634.23. In the miscellaneous line item, there is a $56.40, which was petty cash, Karen will no longer be doing that, so the money was returned to the account. Question was posed regarding the Sam’s Club card account. Kristi McKormick and Jim replied that refers to the Sam’s Club account that is used primarily for concession stand food/items. Question was posed regarding the profit of the tiger cards.Christine Martin answered: $8.75 per card profit, 100 cards were given to the band for free, which will be all profit. The next meeting will have the tigerette uniform cleaning costs added. Jim motioned for the Treasurer’s report to be filed. Christine Martin 2nd. Jack called for vote, none opposed. Report filed.

Fundraising: Report given by Christine Martin. Prior to April is when the fundraising dates had to be submitted. The donut sale was able to be added during the Twins day parade. The sale did not make as much profit as hoped, but they are hoping to do repeat next year, but will limit water and hot cocoa amounts. The tiger cards were delayed in printing, causing the fundraiser to start closer to the beginning of the school year. We went on the conservative side for ordering cards. Permission was granted to sale the remaining cards at Friday night games. Cards are supposed to be turned in Wednesday, August 23, but will finalize plans this week. Mr Bonitz will have extra cards if individual students need more. There were some incentive issues; there were not enough card sets for students to get second set for the incentives. The next fundraiser scheduled is the Football Squares. The squares would be centered around the OSU/Michigan game only. The committee has decided to forgo this fundraiser for this year, feeling that it would be too much, but it is planned out and ready to go on the calendar for next year. The Gionino’s coupon cards kickoff on September 11th. The cost will be $20 per card, which will be all profit as Phil prints the cards for us. Phil’s father passed this week, the status is unsure as to when the cards will be available. Susie Bird is the contact person and will be contacting Phil, suggestions made that band shirts be worn when selling cards, and the Boosters will post a copy of the card on social media to promote and reassure public for legitimacy. The Krispy Kreme donut sale will be a pre-sale for the homecoming game. The students will have sale sheets; pick up will be at the game, possibly at a table near the gates. Question posed regarding a basketball game square fundraiser instead of football squares. Colleen Larson answered that the committee will consider possibilities for next year, but dates have already been set for this school year and they have to work within those dates and we do have a spring fundraiser (That’s Amore) coming up during that time.

Volunteers: Report given by Ileana Cardaman. Sign up Genius has been set up for volunteers; the start time will be updated. Volunteers are requested to be at games 45-60 minutes prior to game start time to set up properly. Question posed regarding students on email distribution list. Ileana does not have a student email list, but a form will be made up and given to parents asking for contact information, including RBC students. Jack and Jaina are working on a monthly student newsletter, they will include information about sign up genius. The student volunteers do not have to be band students, any student wanting service hours can help.

Concessions: Report given by Kristi McKormick. The Friday night soccer game went well, was a good sized crowd, smaller than football. Lot of people asking for Pepsi and Gatorade. The storage and shelving units have been put into place. Friday nights at the football games we will be grilling hot dogs and hamburgers. There are plenty of volunteer opportunities, if students are also volunteering, we need 1 adult minimum, but would prefer 2. If bringing students to volunteer, sign them up also for better record keeping.

Publicist: Report given by Cassie Via. An article appeared in the paper regarding the Tag day. She will be meeting with Linda Garner to learn more about the new website navigation. Some items she has posted previously, have disappeared. She has been sharing on various social media outlets, please let her know when there is anything new to be added.

Uniform Report: Report given by Jane Weiss, uniform distribution went well. Still working with Drill team in regards to their issues. Three Drill team uniforms needed to be repaired. Avery’s uniform is still in the process of being delivered. In the near future we will need to look for new BUMs.

Spirit Wear Report: Report given by Carrie Ketz. Website updated with non logo options. The spirit wear forms were sent to Mr Bonitz and Mr Resnick. Sept 4th ends the online form sale. Non logo shirts that costs $10/shirt costs us $6.50, giving us a $3.50 profit. We will have some shirts printed and ready to sell at the games.

Drill Team: Some girls still have an outstanding fee.

Old Business: None stated.

New Business: Standing area in front of stands has been repaired; the gap has been tarred so it is all one level. A gate was put into the fence behind the shed for entrance to the grilling area. An extra large grill is to be purchased, as there are concerns that the grill being donated by the Larson’s will not be large enough. The school district is adding lights to the grill area for safety. We have been given the shed to store the grill. The electricity in the concession stand has been fixed, with a line added for the popcorn. The partition in the back storage room is being addressed again as moveable partition not working and is not an option. The sidewalk leading to grill area and storage room will be filled with dirt to make it level to the sidewalk for safety.

Question by Susie Bird regarding the Bicentennial celebration inquiring if we can we bring our own tables, and tent, per Jack, we can bring our own set up. Susie will have kettle corn for sale. The band performs at 7:30pm. Additional question by Susie regarding banner carriers, Jane Weiss responded they are getting fitted tomorrow. Suggestion made to have parents wear polos when helping, there are some old polos that could be given to the volunteers.
